1月29日の会議の件で。
29日は15時にホテルへ迎えに行きますが、大丈夫でしょうか？そこから会議場へ移動し、15時半から会議を始めたいと考えております。
今回、会議に参加する人数が多い為、当社事務所では無く、別会場を準備してあります。

Regarding the conference on January 29th, we wonder if it is alright for us to go to your hotel at 3:00p.m., to go to the conference location and start at 3:30 p.m.

Because the expected attendees are more than our office can accommodate, we are planning the conference to be held at a separate location.
