英文レター（招待状）で祝辞を依頼したいのですが。

アメリカの社長宛てにパーティーの招待状を出すことになりました。

毎年東京で開催される記念パーティーへの招待で、「ご欠席の場合は参加者の皆様あての祝辞をいただきたい」旨を書きたいのですが、どのような文にしたら良いのか分かりません。

例えば、
We'd be honoured to have you attend. If it is impossible, please send us ×××'s official message for our participants by August ××.
では、どうでしょうか。

初めて英文レターを書くので、言い回しが間違っていないか、失礼にあたらないかが不安です。

どなたか教えてくださいませ。

別の書き方をもう一つ、も一つ丁寧バージョン、、、

We would have the pleasure to invite you to attend the
Memorial Ceremony scheduled on middle November.
It would be best if you could attend the same.
However, if it is difficult for you to do so, we
would like to have your congratulatory message so
that we may deliver the same to the participants at
the Ceremony on your behalf.

We would be happy to have your message on or before
August 19, 2009.　

Thanking you in advance for your kind attention,

少しばかり丁寧に書いて見ました、ご参考までに。

We would solicit you to attend the Memorial Ceremony. If you
are unable to attend the same by some reason, we would like
to, on your behalf, delivery your congratulatory message to
the participants. Please kindly send us your message
reaching us on or before August 19, 2008.

Memorial Ceremony 記念セレモニー(ここでは、双方周知故、theを付けて頭文字を大文字に)
on your behalf 貴方に成り代わり

honoured、カナダ、もしくはイギリス英語ですね。

僕もそっちの方が好きなので、そのスペルのまま少しだけ
訂正させてください。

We'd be honoured to have you. However, if you will not be
able to attend to this party unfortunately, could you please
send your message to us by August～～st? We will display your
message for our participants officially.

have you attendは「出席させてやる」になる可能性があるので
have youが丁寧でいいかと。if it's impossibleはとんでも
なく大袈裟なので、もしも参加できないのならば、と
直接全文書いていいと思います。最後の文章はそのままでも
いいかなと思ったのですが、まぁもう少し、相手にわかりやすく
するために2分割しました。ご参考程度に。
