アメリカに送るメールの英訳をお願いします。

送り先はアメリカです。

「セミナーに登録している者です。
体調不良で欠席するかもしれません。
いつまでにキャンセルすれば、キャンセル料はかからないのでしょうか。」


一応背景を説明しますと、アメリカで開催される仕事関係のセミナー(有料)に出席するつもりでいました。
メインは上司で、私はおまけです。
その上司が入院してしまい、出席が無理になりそうなんです。

セミナー登録はオンラインで行い、カード決済しています。
登録後に送られてきた確認メールに、キャンセルのことが少し書かれているのですが・・
4月末に行われるセミナーなのに、6月以降のキャンセル連絡だと返金しません、と書かれているのです。
それっておかしくないかなぁと思い、セミナー事務局に問い合わせたいのです。

このような感じでいかがでしょうか^^？

（もし、カードの状況なども言いたいのであれば以下の文章を挿入してください。）

We both have registered to the seminar via online and have completed the online transaction. We have got the mail, though it mentions that '....(メールの文章をそのままコピペしてしまってください。)' , which sounds strange and makes me insecure.

キャンセルが無料で出来ると良いですね！！

We have already entered the seminar.

However, as one of us is in poor physical health now, it is regrettable to inform you that both of us might not participate in it.
By when should we cancel this entry for no cancelation charges?
