以下の内容で大丈夫かどうか、教えていただければと思います。

　前後の状況から事務から英語しか分からない先生への取り次ぎメモだと思います。

でしたら

　Ms. XXX is sick and will be absent from your class today (July YY, 2010). We are to receive her doctor's report in the office. If you have special instructions about the examination, we will be happy to pass them on to the student. Thank you.

内容は基本的に問題ないと思いますが、

言葉の使いや脈絡などは少々不自然な表現があります。

We are writing to inform you that Ms.XXX is sick and will be absent on the 2nd class this Monday. The medical/doctor excuses will be submitted to the office today.
The office will inform/notice you if there is any instructions of the examination.
Thank you for your kind attention.
